I. Website (www.dharmaground.org)

Information Collected

Newsletter Subscription:

Managed by ActiveCampaign. Your name and email address are stored securely by ActiveCampaign (privacy policy).

Contact Form:

Built with Webflow. We collect your name, email, and message content.

Website Analytics:

Fathom Analytics (cookie-free, privacy-friendly analytics) is used without tracking personal data (privacy policy).

Embedded Media:

We use Vimeo (privacy policy) and SoundCloud (privacy policy) to host embedded proprietary  content. These services may collect anonymous usage data.

Donations:

We use DonorDock for processing online donations. DonorDock securely collects and processes your donation and payment information via Stripe. See DonorDock's privacy policy and Stripe's privacy policy.

II. Web Application (app.dharmaground.org)

Account and Authentication

Authentication via Glide with email verification codes (no passwords). Glide securely manages authentication and maintains access to user data synced from Airtable (Glide privacy policy).

Information Collected

Registration Information:

Program registration occurs via Fillout forms (privacy policy). Data collected includes:

  • Name
  • Email address
  • General location information (city, state, country)
  • Meditation practice history
  • Wellbeing information (for intensive meditation retreats only; this information can be deleted post-retreat upon your request)

Donations:

Handled securely by Fillout forms integrated with Stripe. Stripe securely processes payment information (Stripe privacy policy).

Messaging between Students and Teachers:

Text and audio messages related to meditation practice are securely stored in Airtable, synced to Glide, and submitted via Fillout.

Embedded Media:

We use Vimeo (privacy policy) and SoundCloud (privacy policy) to host embedded proprietary  content. These services may collect anonymous usage data.

Zoom Sessions, Recordings, and Transcription

All online programs are conducted via Zoom (Zoom privacy policy).

  • Sessions are often recorded, with video and transcripts stored indefinitely.
  • Recordings are often shared with registered participants of that specific program.
  • We may use clips from recordings for other programs or public teachings, but will never use clips featuring students without explicit permission.
  • Zoom’s automated transcription technology may be used to create transcripts. Transcripts may include the display name participants use in Zoom, but these names are not linked to your Dharma Ground user profile.

AI Processing and Transcription

We use AI transcription and summarization tools to improve programs, support teacher development, and document teachings. These services process session transcripts that may contain Zoom participant display names but do not use your data for their own purposes or AI model training. All processing remains internal to authorized staff only and is never shared externally without permission.

Transactional Communications

We send transactional emails (program confirmations, program details, logistics) and weekly program-summary emails separate from our newsletter. You may unsubscribe from our newsletter and weekly emails at any time. Transactional emails about active registrations cannot be unsubscribed from while enrolled.

Data Storage and Security

Primary Data Storage

Airtable securely stores your personal and program-related data with enterprise-grade security (Airtable privacy policy). Data is stored indefinitely unless deletion is requested.

Glide maintains a secure, synced copy of Airtable data, implementing sophisticated security measures to ensure users access only their own information.

Recordings and related files may be securely stored using third-party storage providers such as Google Drive, Dropbox, and Backblaze. Access to these files is strictly limited to Dharma Ground staff, teachers, and administrators as needed.

Security Measures

  • Access to personal information stored in Airtable, Glide, or third-party storage is restricted to Dharma Ground's technical team members, teachers, or administrators who require access to support your participation.
  • Enterprise-grade security through our data storage providers.
  • Email-based authentication without password storage.
  • Secure payment processing through established providers.

Information Sharing

We do not sell or rent your personal information. However, we share data with third-party service providers required to deliver our services, including:

  • ActiveCampaign (newsletter management)
  • Webflow (contact forms, website hosting)
  • Fathom Analytics (privacy-friendly analytics)

  • General Policy: We retain personal and program information indefinitely unless you request deletion.
  • Wellbeing Information: For intensive retreats, this sensitive information can be destroyed after the retreat upon your request.
  • Recorded Content: Stored to provide ongoing access to program participants.

Children's Privacy

We do not knowingly collect personal information from anyone under 13 years of age. Our services are not targeted to minors.
